Why an email column gets messy

Email addresses arrive from forms, imports and people typing them in by hand, and each of those goes wrong in its own way.

  • Mixed casing from different sources — "Jane.Doe@Example.COM" beside "jane.doe@example.com"
  • Leading or trailing spaces copied in from another system, invisible in the cell
  • A domain typed a character wrong — "gmial.com", "hotmial.com", "outlok.com"
  • Values that were never an email address at all, sitting in the email column

Only the first row changed. The second is flagged for review with "priya@gmail.com" suggested, because a domain is never rewritten on a guess. The third is left alone entirely — mail.com is a real domain, not a truncated one.

Limitations

What this is not

  • This is not email verification. There is no mailbox lookup, no test send and no bounce check, so a well-formed address on a real domain can still belong to nobody. Nothing here tells you a list will deliver.
  • The domain check compares against well-known providers, so it catches "gmial.com" but not a company domain typed wrong — there is nothing to compare that against.
  • A misspelled ending on an otherwise correct name, such as "gmail.con", is not currently caught. The check looks at the domain as a whole rather than at its last part on its own.
  • Suggestions are never applied for you. If nobody reviews them, the file downloads with the original addresses intact.

What email cleaning does — and doesn't do

What does it fix in an email column?

Stray whitespace and inconsistent casing, automatically. " Jane.Doe@Example.COM " comes back as "jane.doe@example.com", so a column assembled from a form, an import and a few manual entries reads as one. A misspelled domain is handled differently — it is flagged with the correction it suggests rather than changed for you.

Does it check that the address actually works?

No, and it does not claim to. There is no mailbox lookup, no test send and no bounce check. What it checks is that the address is well formed and that its domain is not a near miss of a common provider. An address can pass both of those and still belong to nobody.

What counts as a misspelled domain?

A close miss of a well-known provider. gmial.com, hotmial.com, yaho.com and outlok.com are each reported alongside the address they were probably meant to be — gmail.com, hotmail.com, yahoo.com and outlook.com — and left for you to accept or reject.

Will it change a domain I actually use?

No. mail.com, co.com, me.com and gmx.com are all real domains and are left exactly as they are, even though they look like truncations of larger ones. A domain is only ever raised as a suggestion, never rewritten in place, so nothing in your file changes on a guess.

What happens to a value that is not an email address?

It stays exactly as it is and is reported. A value like "no-at-sign.com" is flagged as invalid and left in the file rather than being emptied or corrected, so you decide what it should have been. A placeholder such as "n/a" is treated as a missing value instead, which is what it is.

Is email cleaning a paid feature?

No. It runs on every tier, including the free one, with no account required. The paid tiers add checks of a different kind — outliers, fuzzy duplicate matching and address validation — rather than unlocking this one.

How long is my file kept?

Anonymous uploads and their results are deleted an hour after cleaning. Signed in, results follow your account's retention period, seven days by default, and you can shorten it or delete a result yourself at any time. Read the privacy policy.
